RKAZNHere's the uncomfortable truth: most automation projects fail not because the technology doesn't work, but because someone tried to automate a broken process. Automation makes a good process faster. It makes a bad process fail faster, in more places, at the same time.
Step 1: Map the process as it ACTUALLY happens
Not the version in the employee handbook. The version where Priya manually double-checks something because the system got it wrong once in 2023 and nobody ever fixed it. Talk to the people actually doing the work — they know where the real friction is.
Step 2: Find the boring, repetitive, rule-based parts
Not every step needs AI. Some steps just need automation. Save the AI for the parts that genuinely require judgment — understanding language, making a decision, handling something unstructured.
Step 3: Design for the exceptions, not just the happy path
Every process has edge cases. What happens when the automation doesn't know what to do? If the answer is "it guesses," that's a problem. The answer should always be: it escalates to a human with full context.
- Define what "normal" looks like for this process
- Decide exactly what happens outside of normal
- Make sure someone actually sees those exceptions — not a silent failure
Step 4: Start small, prove it, then expand
Automate one workflow completely before touching the next one. A fully-automated small process beats a half-automated big one every time — and it gives you a real, working example to build confidence (and buy-in) around.
Step 5: Monitor it like it's a new employee
You wouldn't hire someone and never check their work again. Same rule applies here. Automations need monitoring, logging, and a clear way to catch when something's gone sideways — before your customers notice, not after.
Good automation removes the boring work. Bad automation just moves the chaos somewhere less visible.
